I had to file a Writ of Review with the California Court of Appeal. I contact several services for assistances most were not interested and others didn't provide the services I needed. If a date is provisional, book it anyway and adjust later: releasing a held slot costs nothing, whereas finding a reporter two days out in a thin market sometimes cannot be done at any price.
Standard turnaround runs a number of business days after the proceeding, and expedited and daily copy are available where a hearing or a motion deadline requires it. Daily copy means the transcript arrives the following morning, and it is priced accordingly because it commits the reporter’s evening. Legal video work is synchronised to the transcript so a passage can be located and played without hunting through footage, and the file format works with the presentation software commonly used in trial. A videographer attending alongside the reporter also means the record of the proceeding does not depend on a single source. Video is booked with the reporter rather than separately, so both are confirmed together.
A deposition officer administers the oath and takes custody of the record, and in California the role carries statutory duties around records subpoenas under Code of Civil Procedure section 2020.420 and following. Where a records subpoena is served, the deposition officer receives the records and handles the copies and the notices that go with them. Many matters need the reporter and the deposition officer function together; some records-only matters need the officer and no transcript at all. For remote proceedings exhibits are shared electronically and marked in the same sequence, which avoids the confusion that arises when each side is working from its own numbering. Where you have exhibits prepared in advance, sending them before the deposition lets the reporter set up the marking sequence beforehand rather than during the examination. Where an exhibit is introduced unexpectedly during questioning, it is marked in sequence at that point and appears in the index the same way, so nothing sits outside the numbering.
Charges are made up of an appearance fee for the reporter’s time at the proceeding and a per-page rate for the transcript, with expedited turnaround and video quoted separately. That structure is standard in the industry, which means quotes are comparable if you ask for the same components. A long deposition producing a short transcript costs differently from a short one producing a long transcript, so an estimate based on expected hours and expected pages is more useful than a single figure. Estimates are given before booking.
Cancellations happen and the earlier they come the less they cost, because the reporter can usually be placed on other work. Late cancellations and non-appearances carry a fee, since the reporter has held the day and travelled. Where a deposition goes ahead but the witness does not appear, a certificate of non-appearance can be prepared, which is the document you need to show the court that the deposition was convened and the witness failed to attend. Ask for it on the day rather than reconstructing it later.
